What are Reports & Their Types

What is a Report in Salesforce?

A Report in Salesforce is a list of records that meet the criteria you define. It’s a powerful tool to summarize, analyze, and visualize your data. You can pull data from various Salesforce objects (like Accounts, Contacts, Opportunities) to make informed business decisions, monitor performance, and gain data-driven insights.

Types of Reports:
Salesforce offers four main types of reports:
  • Tabular Reports: This is the simplest report type. It shows data in simple rows and columns, much like a spreadsheet. It's best for creating lists of records or a list with a single grand total.
  • Summary Reports: These are similar to tabular reports but also allow you to group rows of data, view subtotals, and create charts. Summary reports are great when you want to see subtotals based on the value of a particular field, like viewing all opportunities grouped by stage.
  • Matrix Reports: These reports allow you to group records by both rows and columns, similar to a pivot table in a spreadsheet. They are useful for comparing related totals, especially when you have large amounts of data to summarize and you want to compare values across several different fields.
  • Joined Reports: These let you create different views of data from multiple report types. The data in joined reports is organized in blocks. Each block acts as its own "sub-report," with its own fields, columns, sorting, and filtering. You can use a joined report to view data from different objects in one place.

Custom Reports & Exporting

Custom Report: A report that you customize to fit your specific needs. Using the Report Builder, you can select filters, groupings, and fields to show exactly the data you need.
Exporting Reports: This means taking a report out of Salesforce, typically as a CSV or Excel file, so you can use it offline or in other systems.
